Privacy Policy
Last updated: 2026-06-25.1. Maintained by Esantic Lab. This page explains what data we collect when you interact with esantic.live, why we collect it, how long we keep it, and how you can exercise your rights under the EU General Data Protection Regulation (GDPR) and equivalent laws.
1. Who we are
Esantic Lab is the controller of the personal data described in this policy. For any privacy request you can reach us at privacy@esantic.live.
2. What we collect
- Quiz & lead forms (e.g. /automate): email address, professional role, workflow you picked, page source and UTM parameters, a salted SHA-256 hash of your IP, and your browser user agent.
- Account data (if you sign up): email, display name, role, lab affiliation.
- Event & sponsorship data: information you submit through our sponsor, team or workshop forms.
- Consent records: the exact text and version of the privacy notice you accepted, plus the timestamp.
3. Why we use it
- Send the email confirmation, hackathon invites and workshop reminders you signed up for.
- Match you with a team, lab or hackathon format that fits your role.
- Measure which channels bring qualified talents (aggregated UTM analytics).
- Protect the service against spam and abuse (rate-limiting via hashed IP).
4. Legal basis
We rely on your explicit consent for marketing emails and the quiz lead capture, on the performance of a contract for event participation, and on our legitimate interest to keep the service secure.
5. Retention
Quiz leads are kept for up to 24 months from the last interaction. Account and event records are kept while your account is active and for up to 36 months afterwards for accounting and legal reasons.
6. Sharing
We never sell personal data. We share it only with the processors needed to run the service: our hosting and database provider, our transactional email provider, and Stripe for sponsorship payments. Each processor is bound by a data-processing agreement.
7. Your rights
You can access, correct, export or delete your data, withdraw your consent at any time and lodge a complaint with your local supervisory authority. Email privacy@esantic.live and we will reply within 30 days.
8. The consent text we record
I agree that Esantic Lab may store my answers and contact me by email about the hackathon, workshops and related updates. I can unsubscribe at any time.

9. Changes
When we materially change this policy we publish a new version number above and ask you to re-accept on your next interaction with a form.
